Document Management with DataHive

What is a Document Management System?

A document management system is designed specifically to assist businesses in managing the creation, storage, retrieval and expiry of information stored as documents.

Unlike the file structure on your personal computer, a document management system includes a central repository that is used to manage and protect the storage of information that is or could be of value to a business.

With DataHive, that central repository is our world-class data centre. Our clients' data is held safely and securely with no risk of data loss, theft or corruption.

How Can SMEs Benefit from our Document Management System?

Information -- your entire business depends on it. But wait, can your employees and executives easily locate the information they need when they need it? Odds are they can't.

In most companies documents are stored all over - on networks, on individual PC hard drives, CDs and zip drives, in filing cabinets and even in desk drawers. On top of that the people who need to access these documents are often located in different places as well.

The best answer for businesses - small, medium or large - is DataHive's document management system.

How it Works

Document management typically begins with using a scanner to convert paper documents into digitized images. The scanning can be done on-premises or off. Once all files are electronic, it is easier to organize the information.

Next, the scanned image is typically given a name containing the date. This step is called indexing. The user is prompted to key in additional “tags” or indexing criteria.

The system stores the scanned file by associating the image with the tags. Accurate tags make it easier to find the document you need.

When you need to retrieve a document from the system, you simply perform a search by entering one of the tags. The request is processed and the information is retrieved.

Our document management systems includes stringent security measures to ensure that only authorized users have access. These measures determine which authorized people can read which documents, and what actions or modifications they can make to those documents.

Your digital documents are stored in DataHive's fully redundant, world-class data centre located in Calgary, Alberta, Canada. You can choose to store the data on your own servers here, or better yet, if you wish to save money on hardware purchases, you can store it affordably on DataHive's virtual servers.
